RH Toolkit

A forecast is drawn before the work starts, and the hours people log rarely match it. People take time off, holidays land on planned days, projects slip, budgets change, and team members roll off. The RH Toolkit changes a record’s forecast in bulk to keep up with all of it. Every change shows a preview first, and the toolkit offers to take a snapshot before it writes anything, so there is always a way back.

The RH Toolkit works on RH Projects and Opportunities out of the box.

Note:

The RH Toolkit is in beta. Contact Resource Hero support to try it.

An RH Project record page with the RH Toolkit button in the header, next to Edit and Delete.

Six tools in one window

Click RH Toolkit on an RH Project or Opportunity to open the toolkit. It opens on the Assignments tab. The tools sit in tabs across the top.

Assignments: manage the team without leaving the toolkit

Add, edit, and delete the record’s assignments, and run Find Resource to staff an open role. Changes are picked up by the other tabs right away, so you can add the person who takes over and hand hours to them in the same session.

Resolve conflicts: clear the days a resource is overbooked

Find every day a resource is booked past capacity by this record, other projects, holidays, or time off. Move this record’s hours off those days onto the next days the resource has free capacity. Each assignment’s total stays the same, and other projects are never changed.

Reconcile: make the plan match the hours actually worked

Set the forecast for past days equal to the actual hours logged, then decide what happens to the difference. Unused hours can move into the remaining plan, extend the end date, scale the remaining days, or be written off. Run it every week and it picks up where the last run left off.

Reshape: shift, re-baseline, or set the hours

Slide the remaining plan later or earlier when a project slips. Set a new remaining total per assignment for a change order or a budget cut. Or lay hours over a date range, such as “50% of capacity for October”.

Hand off: move hours to another assignment

Move an assignment’s forecast for a period to another assignment on the record when someone rolls off, goes on leave, or shares the load. Move everything, a set number of hours a day, a share of each day, or only what fits the new person’s capacity. Hours already worked stay with the person who worked them.

Snapshots: save the plan, compare it, and put it back

Take a snapshot of every assignment and forecast on the record. Compare the current plan against it, restore it, keep it forever, or let old snapshots purge automatically. Snapshots now work on Opportunities as well as RH Projects.

How a change works

Resolve conflicts, Reconcile, Reshape, and Hand off all follow the same steps.

  1. Set the dates and options. Each tool starts with a From Date. Dates before it are left as they are. Reconcile works on a Period instead, and Hand off also takes an optional To Date.
  2. Read the preview. The preview redraws a moment after each change. A summary across the top shows what the run does to the record, and the table below lists each assignment with its change and any notes. Nothing is written yet.
  3. Open a row to see its days. Click an assignment to see its forecast day by day, with a bar for each day showing holidays, time off, other bookings, and capacity. Click Back to assignments to return.
  4. Leave out what should not change. Clear Include on an assignment to leave it alone. In Resolve conflicts and Reconcile, you can also turn off a single day so the run leaves it as is.
  5. Apply. The footer proposes a snapshot before anything is written, for example “Snapshot first as Before RH Toolkit 2026-10-29 09:14”. Click Rename to name it yourself or Skip to apply without one. Then click Apply.
The toolkit footer reading Snapshot first as Before RH Toolkit 2026-10-30 07:58, with Rename and Skip links, a Cancel button and an Apply 98 changes button.

If you change an option and the preview has not caught up, a banner at the top says so and the figures fade. Click Recalculate in the banner or in the footer to redraw the plan. Apply waits until the plan is current.

The toolkit stays open after Apply, so you can go straight to the next tool. The first snapshot of the session becomes your restore point. The footer then shows Take another to take a fresh snapshot and Restore to it to put every forecast back as it was. When you close the toolkit, the RH Matrix on the page reloads with the new forecast.

Rules that hold in every tool

  • Actual hours are never changed.
  • Only this record’s forecast is written. Other projects, holidays, and time off are read to find free capacity, but never changed.
  • If someone else changes a forecast between your preview and Apply, nothing is written. The preview refreshes so you can check it and apply again.
  • Archived assignments, read-only assignments, and assignments you cannot edit are left out. Click Show excluded assignments under the table to see each one and why.

Set up the RH Toolkit

The RH Toolkit action is already on the packaged RH Project and Opportunity layouts. Assign the Resource Hero – RH Toolkit permission set to the people who use it. See RH Toolkit: Setup for custom layouts, access, the RH Last Reconcile Date field, the snapshot purge, and running the toolkit on other objects.

Large plans

A change that writes more than 4,500 forecast days runs in the background. The toolkit shows the progress and reports when it is done. If no snapshot is being taken, it asks you to confirm first, because a background change that fails partway can only be undone from a snapshot.

If a background change fails, the message says how many changes were written and which snapshot to restore to undo them.

A record with more than 500 assignments still previews and applies, but the assignments are not listed one by one. A record whose resources hold more than 20,000 forecast rows in the range stops with a message. Set a later From Date or leave some assignments out.

Get started

  • Follow RH Toolkit: Setup to add the action and assign the Resource Hero – RH Toolkit permission set.
  • Open an RH Project and click RH Toolkit.
  • Take a snapshot on the Snapshots tab before your first change.
